New Employee Phone Setup Checklist: Cloud PBX Onboarding for Jamaica Businesses

Written by Everett Kildare · Nov 6, 2026 · 6 min read

Why Phone Provisioning on Day One Matters More Than Most Businesses Realise

A new employee who cannot take or make business calls on their first day is a liability — especially in a client-facing role. Yet most Jamaica businesses treat phone setup as an afterthought, scrambling to get it sorted while the new hire sits idle. The problem is more pronounced on Cloud PBX than it was on a traditional PABX, because there are more moving parts: extensions, voicemail PINs, softphone credentials, ring group memberships, and call permissions all have to be configured before the person walks in.

This checklist covers every step, in the right order. Whether you manage your own Cloud PBX admin portal or raise changes through your provider, running through this list before every new hire starts will prevent the most common day-one phone headaches for Jamaica businesses.

Step 1: Assign an Extension and a Direct Number

Every employee on your phone system needs an internal extension — a short number other staff dial to reach them without going out through the main line. On Cloud PBX, extensions are virtual and assigned in the admin portal. Before you create the first one, choose a numbering scheme you will stick to: many Jamaica businesses use 1XX for management, 2XX for sales, and 3XX for support. A logical structure makes busy-lamp-field panels readable at a glance and reduces mis-transfers.

If the new hire will receive external calls directly, assign them a DID — a full Jamaica phone number with an 876 or 658 prefix — that rings their extension. This is especially important for account managers, senior staff, or anyone whose number will appear on business cards or email signatures. If they are joining a shared team answering a common line, a DID can wait until the role proves it is needed.

  • Log into the Cloud PBX admin portal and create a new user profile with the employee's full name and work email
  • Assign an unused extension number following your numbering scheme
  • Attach a DID if the role requires a direct external number
  • Set their display name exactly as it should appear on colleague call screens and BLF panels

Step 2: Voicemail Setup and PIN Change

Voicemail is often the first place a gap in setup shows up. If a caller reaches voicemail and hears the system default greeting — or worse, the name of the person who previously held that extension — it creates a bad first impression. Configure voicemail as part of the provisioning process, not after.

Most Cloud PBX systems assign a default PIN for voicemail access. That PIN must be changed on first login — it should not remain the system default for a single day. Where your system supports voicemail-to-email, link the new hire's work email address so messages arrive as audio attachments in their inbox. This is a standard feature on WOCOM Cloud PBX and dramatically increases the chance that voicemails actually get heard and returned, rather than accumulating unchecked.

  • Enable voicemail on the new extension
  • Set a temporary PIN and include it in the day-one handover pack
  • Configure voicemail-to-email with the employee's work email address
  • Instruct the employee to record a personal greeting before they take their first call
Extensions left on a system-default PIN are a standing security gap. Any caller who knows the system's default can access that mailbox. Make PIN changes a mandatory step in onboarding, not a suggestion.

Step 3: Softphone App or Desk Phone Provisioning

Once the extension exists in the system, the employee needs a physical way to use it. For desk-bound staff in Kingston or Montego Bay offices, that usually means an IP handset. For remote or hybrid workers — a reality for many Jamaica businesses since 2020 — it means a softphone app installed on a company laptop or personal mobile device.

IP desk phones on WOCOM Cloud PBX support auto-provisioning: plug the handset into the office network, point it at the provisioning server address, and the phone retrieves its extension configuration automatically. No manual SIP credential entry required on the handset itself. For softphone apps, the employee downloads the app and enters SIP credentials — username, password, and server address — which you generate from the admin portal.

  • For desk phones: connect to the office network and confirm auto-provisioning completes before handing over
  • For softphones: generate SIP credentials in the portal and deliver them securely — not by WhatsApp or SMS
  • Make a test internal call and a test outbound call before considering provisioning complete
  • Confirm the outbound caller ID displays the correct company number for this employee's role

Leaked SIP credentials are among the leading causes of toll fraud on business phone systems. Never share them in a group chat or an unencrypted message. Use company email or a secure password manager to hand them over.

Step 4: Ring Groups, Call Queues, and Shared Lines

An employee provisioned on the system but absent from every ring group will miss every team call. If sales enquiries ring all four members of the sales team simultaneously, the new sales hire must be added to that group before their first day — not after their first week of watching calls land on colleagues' phones.

The same logic applies to support queues, department hunt groups, and any shared number the team handles collectively. Maintain a simple internal register listing every ring group, its purpose, and which roles belong to it. When a new hire starts, work through the register and add accordingly. When someone leaves, work through the same register and remove them — the companion offboarding checklist handles that direction.

  • Add the new extension to all relevant ring groups and inbound call queues
  • Confirm presence and BLF settings so colleagues can see the employee's availability in real time
  • If your policy requires it, enable call recording on the extension and confirm the employee is aware
  • Set call permissions to the minimum the role needs: local only, national, or international as appropriate

Step 5: A Short Training Session Before the First Call

Provisioning is an IT admin task. Training is a people task — and it is the step most often skipped when onboarding moves fast. A new employee who does not know how to transfer a call without disconnecting the caller, or how to place someone on hold without silence lasting indefinitely, will develop habits that are difficult to correct and that affect the experience of every person who calls the business.

A 20-minute walkthrough on day one covers the essentials. Keep it practical and hands-on rather than theoretical. Have the new hire perform each action themselves rather than watching you do it.

  • Answer and end a call — confirm the right button on the handset or softphone
  • Place a caller on hold and retrieve — confirm hold music plays and the call does not drop
  • Blind transfer to an extension — the most-used function in any office
  • Warm transfer with an announcement — introducing the caller before connecting is the professional standard
  • Check and clear voicemail — particularly important if voicemail-to-email is not set up yet
  • Activate do-not-disturb — so meetings are not interrupted by ringing

For employees in reception or operator roles who will use a Cloud PBX console panel, allocate additional time for that interface specifically. It is a different workflow from a standard extension and benefits from focused coaching.

The Security Sign-Off Before You Are Done

Close the onboarding with a quick security confirmation. Phone system security at the user level depends on consistent hygiene across every account on the system.

  • Default voicemail PIN changed — confirm the employee has set their own PIN, not the system default
  • SIP credentials stored securely — not in a chat history, shared spreadsheet, or sticky note
  • Call permissions set to minimum required — only enable international dialling if the role genuinely needs it
  • Outbound caller ID reviewed — calls from this extension should display the business number, not a blank or unrecognised ID
  • Employee aware of transfer security — particularly relevant for finance and customer account roles where callers may request account changes
