Why on-premise matters under the Data Protection Act

Jamaica's Data Protection Act makes an organisation responsible for the personal data it holds — how it is secured, who can reach it, how long it is kept, and what happens when it is sent somewhere else. Every one of those obligations is easier to discharge when the data is sitting on a machine you own, in a room you control.

Data sovereignty

Citizen and customer records stay under Jamaican jurisdiction. There is no foreign data centre, no foreign legal process that could reach the data, and no transfer for you to justify.

A shorter chain of trust

Every third party that touches personal data is a party you must vet and account for. On-premise removes most of that chain: the data is handled by your staff, on your equipment.

Retention you can prove

Retention and disposal rules run on your own system, and you can demonstrate to an auditor that a record was deleted — rather than take a vendor's word that it was removed from their platform.

Access requests and audit

When an individual exercises their rights over their data, you can search, produce and evidence it directly, with access logs held on your side of the fence.

On-premise deployment supports your compliance obligations — it does not discharge them. You remain the data controller, and you still need policies for access, retention and breach handling. How is this different from buying a CRM off the shelf?
A packaged CRM gives you a fixed set of modules and asks you to adapt your process to them. We do the reverse: we study how your business already works, then build the system around it. The practical difference shows up in training — staff recognise their own forms and terminology on day one — and in the workarounds that never appear, because there is no gap between the system and the job.
What does the discovery process actually involve?
We spend time on your premises watching the work, not just interviewing managers. We collect every form, register, book and spreadsheet in daily use, because those documents encode the real process. We then produce a map of how work moves through the business and walk your team through it for correction before any building starts.
Can our data really stay inside our own building?
Yes. For large institutions and government we deploy the full system on a server at your premises. Your database, documents, audit logs and backups sit on hardware you own, in a room you control. Staff reach it over your internal network. Nothing about the records is stored in a third-party data centre, and there is no cross-border transfer to account for.
Does on-premise hosting make us compliant with the Data Protection Act?
It supports compliance; it does not deliver it by itself. Keeping data on-premise removes cross-border transfer questions, shortens the chain of third parties you must vet, and lets you evidence retention, deletion and access directly. You remain the data controller and still need policies for access control, retention and breach handling. We configure the system to enforce those policies; your legal advisers and the Office of the Information Commissioner remain the authority on what they must contain.
What happens to an on-premise system if the internet goes down?
Staff on your internal network keep working, because the server is in the building with them. What is affected during an outage is anything that crosses the boundary — remote branch access and live call identification from the phone system. Call events queue and reconcile once the link returns.
Who maintains an on-premise server — us or WOCOM?
Either, and it is agreed before deployment. WOCOM can maintain the system under a managed agreement with defined access, or your own IT team can hold administrative control with WOCOM providing support on request. Institutions with strict access policies usually take the second option, with privileged access controlled through a gateway so every administrative session is attributable and recorded.
How long does a build take?
It depends entirely on how many processes are in scope. A single department automating one workflow is a short engagement; an institution replacing a paper operation across several departments is a phased programme. We scope it after discovery and deliver in stages, so the first working module is in use while later ones are still being built — rather than a single switch-on at the end.
Do we need to be a WOCOM phone customer?
It is not a requirement, but it is where most of the value sits. When the CRM and the phone system are one platform, calls identify the customer, log themselves against the right record, and turn missed calls into follow-up tasks. Without that, you have a well-fitted CRM and a separate phone system, which is still an improvement on paper — just not the whole of it.
What does it cost?
Custom builds are quoted after discovery, because the honest answer depends on how many processes you are automating and whether you need on-premise hardware.
