On the Floor and in the Cloud: How a Spanish Town Distributor Runs One Hybrid Phone System Across Its Warehouse

One warehouse, four kinds of phone

Meridian Distributors is a wholesale supplier in Spanish Town, St. Catherine, moving dry goods and household products to shops across the parish. Its phones are not one tidy system. There is an analog handset bolted to the wall at the security gate, an overhead paging horn that calls pickers to the loading bay, a cordless handset the floor supervisor carries around, and a row of desk phones at the front counter. A small sales team spends most of the week on the road.

For years all of this ran on copper lines and an on-site PBX in a back room. It worked, but every outside call went out on expensive traditional lines, the road reps were unreachable on the company number the moment they left the building, and adding a line meant waiting on a technician.

Meridian did not want to pull any of it out. The gate phone, the paging horn and the cordless handset all did their jobs. What the company needed was cheaper outside calling and a way to reach the sales team, without throwing away working equipment. That is exactly what a hybrid phone system is for.

Why hybrid, and not a full rip-and-replace

The tempting pitch is to move everything to the cloud at once. For Meridian that was the wrong call. The warehouse paging and the gate intercom are wired into the building and tied to how the floor actually operates. Pulling them out to chase a per-seat cloud plan would have meant new hardware, new training and disruption during peak delivery season, for no real gain on those internal functions.

The smarter move was to keep the local PBX doing what it does well, running the phones inside the building over the LAN, and connect it to the WOCOM cloud for everything that reaches the outside world. Internal calls, paging and the gate intercom stay local and instant. Outside calls ride WOCOM Flexi-SIP trunks, and the road reps come onto the same system through a mobile app.

How the hybrid setup works

WOCOM connected SIP trunks to the existing on-site PBX and ported the company numbers onto its licensed 876 network. Nothing on the floor changed physically:

  • Local stays local. The gate intercom, the loading-bay paging and calls between desks route over the LAN through the on-site PBX, exactly as before.
  • Outside calls go cloud. Every inbound and outbound external call now travels over WOCOM SIP trunks instead of costly traditional lines.
  • The road team joins in. Sales reps run the WOCOM app on their phones, so they place and take calls on the business number from anywhere in the parish.
  • One number, many devices. A customer calling the main line can be answered at the counter, on the cordless handset, or by a rep in the field.

The results

Because the change touched the trunks and not the handsets, the switch happened over a single evening with no downtime on the floor. Within the first full month Meridian reported:

  • A sharp drop in monthly line costs after retiring its traditional outside lines in favour of SIP trunks.
  • Sales reps reachable on the company number for the first time, so orders stopped slipping to voicemail while staff were on the road.
  • New extensions added from a web portal in minutes, with no technician visit.
  • Zero change to the paging, gate and counter phones the team already knew how to use.

The equipment the company trusted stayed in place. The costs and the blind spots that came with old copper lines did not.
