What Are Day Mode and Night Mode on a Cloud PBX?
A Cloud PBX auto-attendant can operate two distinct call flows: a day mode that handles callers when your business is open, and a night mode that takes over when you are closed. These are sometimes labelled "business hours mode" and "after-hours mode," but the underlying feature is the same.
When day mode is active, your auto-attendant might say: "Thank you for calling XYZ Company. For Sales, press 1. For Accounts, press 2. For Support, press 3."
When night mode activates at 5 pm, the same number plays a completely different recording: "You have reached XYZ Company. We are closed for the day. Our hours are Monday to Friday, 8am to 5pm. Please leave a message and we will return your call first thing in the morning."
The switch between the two can happen automatically on a schedule, or it can be triggered manually by a staff member — ideal for public holidays, emergency early closings, or bad-weather days.
Many Jamaican businesses still run a single generic greeting at all hours. A caller who phones at 7pm hears the same "Press 1 for Sales" menu with no indication the office is closed. They choose an option, ring an unmanned extension, and eventually hang up frustrated. A properly configured day/night split eliminates that experience entirely.
Why Your Daytime and After-Hours Call Flows Must Be Completely Different
Your daytime auto-attendant exists to route callers to the right person as quickly as possible. Speed and accuracy matter above everything else. Your after-hours auto-attendant has a different job: set clear expectations, capture information, and protect your reputation.
During business hours, a caller wants:
- To reach the right department quickly
- A short, clear menu with minimal options
- Minimal wait before speaking to a human
After hours, a caller wants:
- To know immediately that you are closed
- To understand when you reopen
- A reliable way to leave a message or reach someone for urgent matters
Blending these two needs into one call flow frustrates both audiences. Daytime callers wade through irrelevant after-hours information; after-hours callers are offered menu options that lead nowhere. Businesses in Kingston and Montego Bay that split these flows correctly report noticeably fewer abandoned calls and missed callbacks the following morning.
What to Put in Your Daytime Auto-Attendant Menu
Keep your day-mode menu to three or four options maximum. Callers abandon long menus. If your business has eight departments, do not list eight options — group them.
A proven daytime structure for a Jamaican SME:
- Option 1 — Sales / New customers
- Option 2 — Billing / Accounts
- Option 3 — Support / Technical help
- Option 0 — Speak to a receptionist
Lead with the number, not the department name: "For sales, press 1" — not "Press 1 for our sales department." Reversing the order shaves two to three seconds per option and meaningfully reduces hang-ups before the caller reaches their choice.
Your opening greeting should state your business name and nothing else before presenting options. Save the tagline and marketing copy for your hold music. Callers already know they dialled you; they do not need a thirty-second brand introduction before they can press a button.
What to Put in Your Night Mode Auto-Attendant
Your after-hours greeting does three things: confirms you are closed, states your hours, and gives the caller a clear next step. It should run no longer than twenty seconds.
A solid night-mode script for any Jamaican business:
"You've reached [Company Name]. Our office is currently closed. We're open Monday to Friday from 8am to 5pm, and Saturday from 9am to 1pm. To leave a message, press 1. For urgent matters, press 2 to be connected to our on-call team."
Not every business needs an urgent option, but if you handle time-sensitive services — security, medical supplies, HVAC, or field maintenance — giving callers an emergency path prevents them from calling a competitor instead.
If your WOCOM plan includes the AI receptionist, your night mode can route to Alex rather than a standard voicemail box. Alex takes a structured message, captures the caller's name, number, and reason for calling, then sends you a summary by email or WhatsApp — giving you a detailed briefing to work from when the office opens, rather than a long list of voicemails to play through.
How to Schedule Day and Night Mode in Your WOCOM Cloud PBX
In the WOCOM portal, time-based scheduling for your auto-attendant is configured under the call flow settings for your main business number. You define:
- Business hours — the days and time ranges when day mode is active
- Holiday exceptions — specific calendar dates where night mode overrides the schedule regardless of the day (Christmas, National Heroes Day, Emancipation Day, and so on)
- Manual override — a shortcut your team dials to force day or night mode without touching the schedule, useful when you close early for staff events or because of severe weather
Jamaica's public holiday calendar is worth building in from the start. Many businesses are caught off-guard when a statutory holiday falls mid-week and callers spend the whole day navigating a daytime menu for an empty office.
Common Mistakes Jamaican Businesses Make With Auto-Attendant Scheduling
1. Setting it up once and never revisiting it. The original configuration might say "Mon–Fri 8–5" but actual hours have since changed. A caller who phones at 4pm on a Friday and hears the night greeting loses trust in your business.
2. Night mode with no destination. An after-hours greeting that says "we are closed, goodbye" and disconnects is worse than no auto-attendant. Always give callers somewhere to go — a voicemail box, an AI message-taker, or an urgent transfer number.
3. Using the same recording for night mode and holidays. A caller phoning on Christmas Day does not need to know your standard weekday hours. A separate holiday recording that names the specific reopening date shows professionalism and reduces repeat calls.
4. Not testing after configuration. After setting your schedule, call your own number from a personal mobile at 6pm and confirm night mode is active. It takes under a minute and prevents days of callers receiving the wrong experience.
