When a customer calls your Kingston office at 8:47 p.m. on a Tuesday, they should not get the same experience as someone calling at 10:30 a.m. on a Wednesday. One caller needs a human; the other might find your team at lunch or in a meeting. Getting that distinction right is what a properly scheduled AI receptionist is built for — and most businesses never configure it properly after the initial setup.
WOCOM Alex, the AI receptionist included with every Cloud PBX plan, supports a full scheduling system that controls when Alex acts as your primary call handler and when it steps aside for your team. Here is how to set it up correctly.
Why Business Hours Configuration Matters More Than You Think
An AI receptionist with no schedule set defaults to one of two extremes: it either handles every single call regardless of time, or it defers every call to a human and only kicks in on overflow. Neither behaviour is optimal.
Businesses in Jamaica operate across varied hours — a hardware supplier in Portmore might run Monday to Saturday, 7:30 a.m. to 5 p.m., while a dental clinic in New Kingston operates Tuesday through Friday plus Saturday mornings. A logistics company might have a night shift that still needs to take delivery confirmation calls.
When Alex knows your schedule, it can:
- Greet daytime callers and route them to the right department while your team is available
- Switch to message-capture mode after closing time without any manual intervention
- Apply a different greeting and script for weekends versus weekdays
- Trigger SMS or email alerts to your after-hours contact when an urgent call comes in
Getting this right means no caller — regardless of when they call — feels like they have reached an abandoned line.
The Two Core Modes: Business Hours vs After-Hours
At its core, Alex operates in two distinct modes that you define by schedule.
Business hours mode is when your team is present or expected to be reachable. In this mode, Alex typically handles initial greeting and routing — answering the call, presenting options, and transferring to the right extension or queue. If a transfer fails because an agent is unavailable, Alex can take a message or hold the caller rather than dropping the call.
After-hours mode is when your office is closed. Here, Alex becomes the primary responder. It greets the caller, explains that the office is closed, captures their name, number, and reason for calling, and sends that information to your designated staff via email or SMS. If you have enabled warm transfer on a Pro or Max plan, Alex can also route urgent calls to an on-call mobile number even outside business hours.
Jamaica does not observe daylight saving time, so your schedule sits permanently at UTC-5. This matters if you serve clients in the United States or Canada — Alex can be configured to reference local Jamaican time without any seasonal adjustment.
How to Set Your Schedule in the WOCOM Portal
Inside your WOCOM Hub portal, navigate to AI Receptionist → Schedule Settings. You will find a weekly grid where each day can be independently configured.
For each day, you can set:
- Open hours — the time range when Alex operates in business hours mode (for example, 8:00 a.m. to 5:30 p.m.)
- Closed — days where the office is not operating and Alex goes straight to after-hours behaviour
- Split shifts — useful if you close for a lunch hour; you can define two active windows per day (for example, 8:00–12:00 and 13:00–17:00)
Once saved, changes take effect within a few minutes. There is no need to restart or reprogram Alex — the schedule update propagates automatically across all numbers tied to the AI receptionist.
Pro tip: Set your open hours a few minutes earlier than your staff actually arrives. Alex can handle the first wave of calls while your team is getting settled, so no call goes unanswered because it rang at 8:02 a.m. and no one had logged in yet.
Holiday and Exception Scheduling
Jamaica has a full calendar of public holidays — National Heroes Day, Christmas, Independence Day, Emancipation Day, Labour Day, and more — and many businesses close for staff training days, hurricane warnings, or local events. Alex needs to know about these closures in advance.
The WOCOM portal supports date exceptions: one-off dates you mark as closed regardless of what the weekly schedule says. You can add these weeks ahead of time. When that date arrives, Alex automatically operates in after-hours mode for the entire day without you needing to log in and flip a switch.
For businesses with irregular hours during the holiday season — say, half-days between Christmas and New Year — you can temporarily override the weekly schedule for a date range and restore it automatically when the period ends. Set it once, and the system handles the transition for you.
What Happens When Alex Is Off-Schedule
When a caller reaches Alex outside your configured business hours, the default flow is:
- Alex answers with your after-hours greeting, which you can customise in the script editor
- Alex offers to take a message or, if enabled, route an urgent call to your on-call number
- The captured message is sent to your designated email and, on Pro and Max plans, via SMS to one or more mobile numbers
- The following morning, your team can review all after-hours enquiries in the Missed Calls dashboard before the phones start ringing again
One often-overlooked option: configure Alex to mention your business hours in the after-hours greeting. Something like "Our office is open Monday to Friday, 8 a.m. to 5 p.m. — please leave your details and we will call you back first thing." This simple addition reduces repeat callbacks and sets clear expectations with callers in Montego Bay, Kingston, and everywhere else your customers are located.
Emergency Override: Close Early Without Touching the Schedule
Sometimes you need to close earlier than planned — a staff emergency, a burst pipe, or a particularly severe rain event that sends everyone home. Rather than leaving Alex running in business hours mode while the office sits empty, the WOCOM portal includes a one-tap emergency override that immediately switches Alex to after-hours behaviour, regardless of the weekly schedule.
The override stays in place until you cancel it, at which point Alex reverts to the normal schedule automatically. It is accessible from both the desktop portal and the WOCOM mobile app, so a manager can trigger it from the car park on the way out. No IT support call required.
Set Your AI Receptionist Schedule Today
A few minutes spent on your AI receptionist schedule pays dividends every single day. Callers get a consistent, professional experience whether they call at 9 a.m. or 9 p.m., and your team arrives each morning to a clean list of after-hours enquiries ready to action — rather than wondering how many callers simply gave up and called a competitor.
If you are already a WOCOM Cloud PBX customer and have not yet configured your Alex schedule, log in to your WOCOM Hub portal and set it up now. If you are not yet on WOCOM and want to see how Alex handles your specific call flow, contact our team at wocomja.com/contact to arrange a live walk-through — we will map out your business hours, after-hours routing, and holiday schedule together so Alex is working correctly from day one.
